Retrospective Audits

It is nearly impossible for any organization to review all line-item purchases that it makes for all commodities. The practice of “spot checking” can only identify a small fraction of the billing errors that can exist. Even organizations with the most sophisticated finance and procurement enterprise systems are not immune to these billing errors. If pricing contracts contain any gray areas as to pricing or if the system does not contain all the products a vendor can sell, there is no enterprise system that can prevent billing and payment errors.

Chartwell's retrospective Price Compliance Audit identifies and documents billing errors. Our consultants, using Chartwell's proprietary software, check every single line-item purchase over the past 5 to 7-year period. Once documented, Chartwell reports price discrepancies to the client and then resolves these errors with the vendor.

Prospective Audits

Chartwell's Price Compliance Audit can also be performed on a monthly or quarterly basis to immediately resolve discrepancies and prevent pricing errors from accumulating. Our consultants will identify and document any billing errors, then resolve those errors with the client's vendor.

Contract Negotiation Services

On every Price Negotiation engagement, Chartwell leverages its industry expertise and its experience of working with hundreds of procurement departments to negotiate the best pricing and contract terms possible. Our expertise will also prevent the pitfalls and gray areas that are common in any contract.

Chartwell can negotiate pricing with your current vendor, regardless of when the most recent contract was implemented. We can also negotiate or hold preliminary discussions with other vendors to measure savings opportunities for the client. Chartwell holds all negotiations and discussions strictly confidential.

RFP/RFQ Service

Certain organizations are required to hold formal bid processes in order to implement procurement contracts. Chartwell can manage the entire RFP process for the client or we can assist the client with any aspect of the process.

Often, our clients engage us to handle the commodity-specific parts of the RFP process and all the analytical work, including the development of the RFP document and structure of the price plan submissions; analyzing, summarizing and evaluating the pricing proposals; and assisting with certain language for the final contract document.

Chartwell will take on as much of the RFP process as the client needs, while control of the entire process remains in the hands of the client.
